Announcement of the 2019 Annual Member Meeting!
The 2019 GRCA Annual Member Meeting (AMM) will take place on Saturday, April 27th from 5:30 to 7:00 PM EST at Appel Farm Music & Arts Center in Elmer, New Jersey, USA.
The Annual Member Meeting (AMM) is the most powerful forum of our organization. At this meeting, we go through the year that has passed, set the agenda for the coming year, elect directors for the Board, and vote on proposals to the GRCA.
Since we are a member-driven organization, it is our members (full member camps/organizations) who have the full formal power over the organization. When the GRCA was formed as an organization, the membership created a mission statement, core values and a statement of diversity, and adopted bylaws which are the main regulating framework for GRCA. We also have other formal documents that determine what we can do, such as the Articles of Incorporation and the paperwork that allows tax deductible donations to our organization (our 501(c)3 status).
Since the members have the formal power in GRCA, the main event of the year is when we meet at the conference. If there was no Annual Member Meeting, The Board could make decisions without the approval or input of the members.
At the AMM, members:
Get a report on the past year’s activities and a financial report and, based on that, decide if the Board for the past year is in good standing
Elect members to the Board of Directors Voting procedures
Since the members of GRCA are member organizations and not individuals, each member organization chooses one representative who will vote on behalf of the organization. As a representative, this individual will forward the voice of the organization. As such, there will be preparation before the Annual Member Meeting. The agenda and any proposals are sent out three weeks prior to give organizations time to make decisions about voting. At the AMM, the representative gets three slips of paper - one green (for YES), one red (for NO), and one white (for ABSTAIN). We vote by majority.

Additionally, the GRCA Board is hosting 2 AMM information sessions at the Annual GRCA Conference at Appel Farm Music & Arts Center in Elmer, New Jersey, USA. The two sessions will take place from 11:00 AM to 12:00 PM and 4:15 to 5:15 PM on Friday, April 26th.
